Cogent Manager Controls

A Collection and Litigation system is only as
good as the tools provided for the managers to apply to tracking and
managing the people, tasks, follow-up, costs, revenue and other key
aspects of the business.
BSI has many years of experience engineering
complex systems with finely tuned managerial controls.
The Cogent managerial controls are all built with tight
security so you can strictly limit access.
Within Cogent BSI has designed a suite of managerial tools
that focus on four distinct control areas.
- Audit Employee
- This is a strong
real-time feature that lets you look at every account touched by
an individual/team. There
are also filters you can apply to search by Client, Status or
Creditor. In addition
every column can be sorted.
Finally you can optionally export your results to a file
(CVS, tab delimited, etc).
Some of the columns shown are file ID, debtor name, time,
elapsed time, status of account, balance, client score, if
account was worked, etc.
- Queue Management
- These tools
allow real-time access to all pending or assigned tasks by team
or individual. No matter
if you’re a collector, paralegal, clerk, accountant, poster,
manager, etc. All of the
pending system tasks can be shown.
Late tasks show in RED to
indicate they are late.
There are also summary statistics on the screen to assist the
manager in understanding the queued requests.
Another powerful feature in Cogent are the queue
“Priority Definitions”.
As a manager this area allows me to determine exactly what
accounts at what hour of the day I want individuals to work.
Like those who work off a dialer, individuals who work
from queues can be completely controlled by the Priority
Definitions set by the manager.
Since these are real-time controls if business indicators
demand a change in priority the manager can change the priority
and implement the new work queue priority immediately.
- Auto Assignment
- This feature
helps the manager with the tedious assignment of new accounts,
accounts left from employee departures, or anytime you must
assign or reassign accounts.
Flexibility has been designed using filters to allow the
manager to assign by client, creditor, batch ID, state,
collection status, legal status, claim type, balance range,
score, random, etc. You
can assign by team or by individual.
As you assign accounts the screen displays the actual
distribution of these accounts so you see the actual
distribution before committing these changes.
- Batch Processing
- There are many
occasions in the collection world when you need to research and
make a change to a group of accounts.
Batch Processing leverages the Cogent “Rule Engine”.
This wizard driven process lets you find what you’re
looking for and then perform and action or actions against these
accounts real-time. The
wizard process always displays in preview mode showing what the
action you want to perform does, so you can verify and be
certain that the result is what you need before committing the
actual changes. You can
save these actions and executing them regularly or they could be
one time throw-away. Some
usage examples are;
- Find accounts meeting some criteria
(client, balance, and good address) and schedule an Action
that sends a tax-deal letter to these debtors.
- Find accounts for creditor XX in
Florida
and schedule an Action to change the interest rate to XX%.
This is a sampling of what tools the managers
have to track, monitor and alter the work assignments and priorities
for which they are responsible.
